MAK Jobs is recruiting a Sales Administration Assistant on behalf of our client, a well-established organisation in the engineering sector.

This role provides vital support to the sales and engineering teams in managing both new and existing customer accounts. You will play a key role in resolving customer queries, maintaining accurate billing records, and contributing to the smooth operation of the sales function. This is an excellent opportunity for a motivated and organised individual to join a supportive team, with the possibility of securing a permanent position following the successful completion of the maternity cover.

Location: Rugby

Contract: Maternity Cover (with strong potential to become permanent)

Salary: £28,000 per annum

Hours: Monday to Friday, 08:00 – 17:00 (1-hour lunch break)

Key Responsibilities

  Processing order confirmations for all spares transactions

  Verifying and maintaining up-to-date pricing and contract information

  Preparing and distributing monthly sales reports to the sales team

  Supporting the sales and engineering teams with operational tasks to achieve departmental objectives

  Handling inbound customer telephone enquiries

  Communicating customer feedback internally to relevant stakeholders

  Managing high volumes of email correspondence in a timely and professional manner

  Proactively developing existing customer relationships to drive increased parts sales

  Issuing jobs to field technicians, tracking progress, and ensuring timely completion, customer satisfaction, and accurate invoicing

  Coordinating the timely ordering of parts for service and repair work

  Providing information and resolving customer queries effectively

  Arranging scheduled services with Field Engineering staff

  Processing customer complaints and following up on resolutions

  Collaborating with sales managers to contact customers regarding promotional offers on spares

  Ensuring a consistently positive customer experience

  Undertaking additional duties as required by management to support business needs and personal development

Qualifications and Experience

Essential:

  Minimum of five GCSEs (grades A–C / 9–4), including English and Mathematics

  At least three years’ relevant experience in sales administration and order processing

Desirable:

  Level 2 or 3 NVQ in Customer Service, Business Studies, or equivalent qualification

  Recent graduates with relevant experience will also be considered

About you:

  Excellent organisational skills with the ability to manage multiple projects and priorities simultaneously

  Strong attention to detail and accuracy

  Effective communication skills, both verbal and written

  Proficiency in Microsoft Office Suite, with experience of SAP and CRM systems being highly advantageous

  Background in administration and/or sales support

  Good understanding of inventory control and supply management principles

  A proactive, customer-focused approach with a commitment to delivering high standards of service
